Symptoms
A report total may differ from another report, a dashboard, a prior export, or an expected amount. Rows may appear missing, duplicated, or dated outside the expected period. Often the underlying transactions have not changed. Reports can legitimately differ because of date range, report basis, filters, grouping, accounting method, column settings, permissions, or stale browser data. The safe goal is to reproduce and document the view, not to change the books until an authorized bookkeeper reviews the evidence.
Safe numbered checks
- Preserve the current view. Record the report name, company name, run time and time zone, displayed date range, report basis, and every visible filter. Save a redacted screenshot of only the headings and settings if company policy allows. Do not save or share detailed rows in a ticket.
- Confirm the dates. Check the start and end dates, not only a preset label such as This Month or Last Fiscal Year. Confirm whether the report uses transaction date, due date, service date, posting date, or another available date field. Verify the company time zone if today's activity seems missing.
- Check cash versus accrual. Run the same report once on Cash and once on Accrual only as a viewing change. Cash basis generally reflects income and expenses when payment activity is recognized, while accrual basis generally reflects them when transactions are recorded. A difference between these views is not proof of an error. Ask the authorized bookkeeper which basis is appropriate for the business purpose.
- Review filters methodically. Expand the customization or filter panel and note customer, vendor, account, class, location, product, status, distribution account, and other restrictions. Use the report's Reset or default-view option only if it changes display settings rather than transactions, and first record the original settings. Do not edit any row from the report.
- Compare like with like. Make sure the two reports cover the same dates, basis, company, currency, and filters. A Profit and Loss report, Balance Sheet, sales report, receivables report, and dashboard may use different definitions and timing. Compare headings before comparing totals.
- Refresh safely. Select the report's Run report or refresh control. For QuickBooks Online, sign out and test the same report in a supported browser's private window. If that view is current while the normal window is not, report a browser-state issue. Do not clear organization-wide browser settings or disable managed extensions.
- Check access and timing. Confirm whether another authorized user sees the same total. Note recent imports, bank-feed updates, app synchronizations, or period close activity, but do not alter them. If the report was previously exported, rerun it rather than assuming the old export updates automatically.
What not to do
Do not edit, delete, reclassify, reconcile, exclude, or match transactions to make a report agree. Do not create adjustments or journal entries, change opening balances, or change the company's accounting method. Do not treat this article as accounting, tax, or legal advice. Any record change requires an authorized bookkeeper or Zerolimit direction, a defined scope, and an appropriate verified backup where applicable.
When to escalate
Stop and contact the authorized bookkeeper if the difference remains after settings match, if a closed period is involved, or if deciding the correct basis requires accounting judgment. Contact Zerolimit if the report does not refresh, filters do not apply, users receive errors, users with equivalent access see different results, or browser troubleshooting changes the result. Contact Intuit through in-product Help if Zerolimit confirms a product defect.
Ticket details to include
Include QuickBooks product, report name, date range, cash or accrual, filter names without sensitive values, expected versus displayed total, run time and time zone, whether the private-window test differs, whether another authorized user reproduces it, and recent synchronization timing. Never include transaction exports, customer financial records, payroll data, bank details, tax IDs, credentials, or full account numbers.
