Symptoms
An invoice or estimate may stay unsent, show a delivery error, or appear sent even though the customer cannot find it. One customer may be affected while others receive messages normally. The issue can involve the recipient address, a bounced address, junk filtering, browser state, or an Intuit service interruption. A sent status confirms that QuickBooks processed the request, but it does not prove the recipient's mail system placed the message in the inbox.
Safe checks
- Confirm the scope. Note whether this affects one customer, several customers, or every message. Check the QuickBooks status page for an active incident before repeating the send attempt.
- Review the address without changing the transaction. Open the invoice or estimate and compare the displayed recipient address with an independently confirmed business address. Look for spaces, misspellings, or an outdated contact. Do not paste the address or the document contents into a support ticket.
- Check delivery information. In QuickBooks Online, review the transaction's activity or delivery status. If your edition offers a bounced-email or delivery-error list, check whether the address appears there. Record the exact status and time. Do not repeatedly resend a document that already shows successful processing.
- Ask the recipient to check safely. The recipient can search all mail for the sender name, invoice number, or an Intuit sender, then check Spam, Junk, Quarantine, Promotions, and mail rules. They can ask their mail administrator whether Intuit mail was blocked. They should verify unexpected payment requests through a known phone number before paying.
- Try a clean browser session. Sign out, close the browser, then use a supported, current browser. Test in a private or incognito window. If that works, normal browser cache or an extension may be interfering. Do not disable managed security controls. Ask Zerolimit before changing browser policies or trusted-site settings.
- Use a controlled test. If authorized, send one non-sensitive test to an internal company address. Do not substitute a personal address or expose customer financial information. Record whether QuickBooks reports sent, bounced, or failed.
- For QuickBooks Desktop, stop after basic checks. Confirm internet access, restart QuickBooks, and install an approved QuickBooks maintenance update if your organization permits it. Do not change Web Mail, Outlook, firewall, certificate, or antivirus settings without Zerolimit direction.
What not to do
Do not recreate, delete, or alter the invoice or estimate merely to force delivery. Do not change customer records, payment details, amounts, dates, or accounting entries without an authorized bookkeeper. Never send passwords, MFA codes, bank credentials, tax IDs, account numbers, payroll data, customer financial records, or document attachments in a ticket. Do not bypass email security or ask the customer to trust a suspicious payment link.
When to escalate
Contact Zerolimit if all recipients are affected, the send button errors, the same verified address repeatedly bounces, delivery status conflicts with the recipient's mail logs, or Desktop email setup needs changes. Contact Intuit through the in-product Help option if Zerolimit confirms an Intuit delivery issue. Treat an unexpected change to recipient or payment information as a possible security incident and call Zerolimit using a known number.
Ticket details to include
Include the QuickBooks product and edition, Online or Desktop, browser or Desktop year and release, approximate time and time zone, transaction type, invoice or estimate number, the displayed status, exact error text, whether one or all recipients are affected, and the safe checks completed. Mask email addresses, for example a***@company.com. A screenshot may show only the error area with customer, amount, email, and payment details hidden.
